When a new Quality Activity is created, the creator needs to set a 'Due On' date to specify when the Quality Activity must be completed by.

The assignee receives an email notification with the details of the Quality Activity and the Quality Activity also appears on the assignee's ProjeX dashboard.

To process and complete a Quality Activity, the assignee must click on the Quality Activity link from either the relevant email or their dashboard to view the Quality Activity detail (This will require the assignee to be logged in to ProjeX)

At this stage the assignee has the following options:
  • Raise New SIR
  • Reassign/Reschedule Quality Activity
  • Edit Quality Activity
To close out the Quality Activity, click on the 'Edit Quality Activity' button. This will take you to the Quality Activity page where you can update the content in the following fields based on the actual outcome of the Quality Activity.

  • Comments/Special Instructions
  • Date (This should ideally be the actual date the Quality Activity was conducted)
  • Summary
  • Status
  • Related files
Once you are finished adding content in the fields above, select the 'Status' dropdown field and pick 'Closed' from the listed options.

Next, click on the 'Update Quality Activity' button to set the Quality Activity to 'Closed'. 

Note:
Once a Quality Activity is set to 'Closed', it disappears from the dashboard and cannot be edited any longer.



Overdue Quality Activities:

Once the Quality Activity passes its due-by date, ProjeX allows a grace period of 5 days for the Quality Activity to be closed out. Once this grace period has passed and the Quality Activity is not closed out, the 'Closed' option is removed from the 'Status' dropdown to to ensure timely action and help maintain the integrity of your Quality Management System.

Overdue Quality Activities(Quality Activities with the status of 'Open' or 'Work in Progress' and having passed the Quality Activity Closeout grace period) will appear on the dashboard as Overdue items.

At this stage, the assignee or Quality Manager can choose to Reassign/Reschedule the Quality Activity to another user or another date, after which the Quality Activity gets the status of 'Rescheduled' and does not appear on the dashboard.
